At Willow & Stone Counselling, your privacy and the security of your personal information are of utmost importance. This policy explains how we collect, use, store, and protect your information as part of our virtual counselling services.

When you book sessions or engage in counselling, we may collect personal information including your name, email, phone number, address, emergency contact details, payment information, and session notes. This information is used to provide counselling services, manage appointments and payments, maintain accurate records, and communicate with you regarding important updates or changes to your sessions.

 

All client information is stored securely using encrypted files and the Jane App platform, which is also used for booking, virtual sessions, and storing session notes. Only Kiana Dodd, RTC-C (ACCT Candidate), has access to your personal information, ensuring your records remain confidential. Client files and session notes are retained for a period of seven years from the date of your last session, in accordance with standard professional counselling practice. After this period, all records are securely deleted.

 

While counselling is a confidential process, there are legal and professional limits to confidentiality in accordance with ACCT standards. Information may need to be disclosed if there is a risk of serious harm to yourself or others, if there is suspected child abuse or neglect, or if required by a court order or other legal obligation. Any disclosure of information will be limited to the minimum necessary to address the situation.

 

You have the right to access the information we hold about you, request corrections to your records, and withdraw consent for the collection, use, or disclosure of your information, with the understanding that this may affect the provision of counselling services.
